Labshare Privacy Policy

At Labshare ("we," "us," or "our"), we are committed to protecting your privacy. This Privacy Policy describes what information we collect from users of our services, including the Labshare mobile application (Android and iOS) and our website (collectively, the "Services"), how we use and protect that information, and your rights regarding your data. By using our Services, you agree to the terms of this Privacy Policy.

1. Information We Collect

  • Account Information: We collect information you provide when creating an account, such as your name, email address, and login credentials (passwords are stored in encrypted form).
  • Lab Data: Information related to your lab inventory and activities. This includes data you input or upload about lab materials, inventory items, and any labels or barcodes you scan using the app's camera (with your permission). It also includes materials you choose to share within the Labshare platform (e.g., listing surplus lab supplies for others to see).
  • Usage Data: Information about how you use our app and website. This includes usage analytics, features accessed, and diagnostic data like crash logs or performance reports (collected via tools such as Firebase). We may also collect technical data about your device and network (e.g., device model, operating system version, IP address) to help troubleshoot and improve our Services.
  • Location Data: If you grant permission, we may collect approximate location information (for example, to help you find nearby labs or to tag the location of your lab). This data is used only for providing location-based features within the app. We do not track your location in the background or collect precise location data without your consent.
  • Device Permissions: The app may request certain device permissions such as camera access, storage access, or location access to enable specific features. (Note: The app does not request or use your microphone.) You can choose whether to grant these permissions, and you may revoke them at any time via your device settings. If you decline a permission, certain functionalities (like scanning labels with the camera or uploading photos) may be limited or unavailable.

2. How We Use Your Information

We use the collected information for the following purposes:

  • Providing and Improving Services: To provide and maintain the core features of the Labshare app and website, such as managing your lab's inventory and enabling resource sharing. For example, we use your data to allow you to add inventory items (including via camera input) and to facilitate requests or exchanges with nearby labs. We also use collected data to improve the app's usability, accuracy, and performance through analysis and debugging.
  • Communication: To communicate with you about your account and the Services. This includes sending you confirmations, technical notices, updates, security alerts, and support or administrative messages. We may also use your information to respond to your inquiries, feedback, or support requests.
  • Analytics and Development: To analyze usage patterns and diagnostics (e.g., crash reports) in order to understand how the Services are used and to identify areas for improvement. This helps us fix bugs, optimize performance, and develop new features and offerings that enhance your experience.
  • Legal and Security: To enforce our Terms of Service and other policies, to prevent fraud or abuse of our Services, and to protect the rights, property, and safety of our users, Labshare, and others. We may use your information as necessary to comply with applicable laws and regulations or to respond to lawful requests and legal processes.

3. Sharing of Information

We do not sell or rent your personal information to third parties. We only share information in the following circumstances:

  • Service Providers: We share information with trusted third-party service providers that help us operate, analyze, and improve our Services. This includes providers of cloud infrastructure, data storage, user authentication, and analytics/crash reporting. For example, we may use platforms like Supabase (for database and authentication), Google Cloud (for hosting and storage), and Firebase (for analytics and crash logs). These service providers process data on our behalf and are contractually obligated to safeguard your information and use it only for the purposes we specify.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to a valid legal process (such as a subpoena, court order, or government demand). In such cases, we will only disclose the amount of information necessary to comply with the request and, if legally permissible, will attempt to inform you of the request.
  • Business Transfers: If Labshare is involved in a merger, acquisition, asset sale, or other business transaction, user information (which may include your data) could be transferred to a successor or affiliate as part of that transaction. If such a transfer occurs, we will ensure that your information remains subject to the same protections outlined in this Privacy Policy, or inform you if any changes to the handling of your information will occur.
  • Protection of Rights: We may share information when we believe it is necessary to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the safety of any person, or violations of our terms and policies. This sharing is done to protect the rights, property, and safety of our company, our users, or others.

Otherwise, your personal and lab data are kept within the Labshare system and accessible only to you and other users you authorize (for example, members of your lab group or collaborators, if you choose to share data with them through the app). Any sharing of lab information with other labs or users through the app is under your control and initiated by you (such as publishing a resource listing for nearby labs to view).

4. Data Security

We take the security of your data seriously. Labshare implements a variety of administrative, technical, and physical security measures to protect your information from unauthorized access or disclosure. For example, communications between your device and our servers are encrypted via industry-standard HTTPS, and sensitive information (like passwords) is stored using encryption or hashing. We also limit access to personal data to personnel and service providers who need it to perform their work and who are bound by confidentiality obligations.

Please be aware, however, that no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security. You are responsible for maintaining the security of your account credentials (such as keeping your password confidential and restricting access to your device). If you have reason to believe that your interaction with us is no longer secure (for example, if you suspect your account has been compromised), please contact us immediately.

5. Your Rights

You have certain rights and choices regarding your personal information. Subject to applicable laws, these rights may include:

  • Access and Correction: You may request access to the personal data we hold about you and ask that we correct or update any information that is inaccurate or outdated. Much of your basic account information can be reviewed and edited by you directly in the app or web portal (e.g., updating your profile information).
  • Data Deletion: You may request that we delete your account and personal data. You can do this by contacting us at the email addresses provided below. Upon receiving a verified deletion request, we will remove or anonymize your personal information from our active systems, unless we are required to retain it for legal obligations or legitimate business purposes (for example, record-keeping or security reasons). Please note that after deletion, some residual copies of your data might remain in backup storage for a brief period, but will be purged according to our data retention practices.
  • Consent Choices: You have the choice to grant or revoke permissions at any time. For instance, you can disable location or camera access through your device settings, and you can choose not to provide certain optional information. You can also opt out of receiving promotional communications from us by following the unsubscribe instructions in those communications or by contacting us. (We will still send you essential notices about your account or Services when necessary.)
  • International Users: Our Services are operated from the United States. If you are located outside of the U.S., be aware that the data we collect will be transferred to and processed in the U.S. (or other locations where we or our service providers operate). We will protect your information as described in this Privacy Policy, no matter where it is processed. Depending on your jurisdiction, you may have additional legal rights over your data. For example, users in the European Economic Area (EEA) or United Kingdom have rights under the GDPR, such as the right to object to processing or request data portability. 6. Children's Privacy

In the event that we learn we have collected personal information from a child under 13 without parental consent, we will take immediate steps to delete that information from our servers. If we make material changes to how we collect, use, or share your personal information, we will notify you by updating the "Last Updated" date at the bottom of this policy and, where appropriate, provide a more prominent notice (such as a push notification in the app or an email notification). Your continued use of the Labshare Services after any changes to this Privacy Policy constitutes your acceptance of those changes.
